All applications must be accompanied with full payment. Request for cancellation and refunds must be in writing. Cancellations postmarked on or before August 20, 2008 will result in Monroe County ARES retaining $20 for each booth space rented. Cancellation received between August 21, 2008 and September 9, 2008 will receive a 50% refund. No request for refunds will be granted on or after September 10, 2008. Subleasing or Sharing of Exhibit Space. Subleasing or sharing of exhibit space is prohibited. All signs, displays and product in a booth must be related to the exhibitor’s company. Exhibit Space Assignments. Exhibit space assignments are made on the basis of priority, availability and need, with all assignments made in the best interest of the exhibition. Monroe County ARES reserves the right to alter an exhibitor’s assigned space if it is deemed necessary and in the best interest of the exhibition. Monroe County ARES will make every reasonable attempt, through advertising and promotion, to attract qualified attendees but does not guarantee any certain level of attendance. Monroe County ARES shall have sole control over admission policies at all times. Exhibitor Appointed Contractors. As an agent for the exhibitor, all exhibitor-appointed contractors will be bound by these Terms and Conditions and exhibitors will be esponsible for the conduct of contractors they appoint. Displays and Exhibits Finishing. Displays and exhibits in public view are required to be appropriately finished on all sides and surfaces. Exhibitor Activities and Displays. Exhibitor activities and displays must be limited and confined to the space for which the exhibitor has contracted. Public address, sound producing, or amplifying devices, which project sound beyond the exhibitor’s booth, are expressly prohibited. Flashing or neon lights, lighted signs or electronic displays or devices must be constructed or controlled in a manner that will not interfere with or constitute a nuisance to other exhibitors. Property Damage. Damage to property caused by an exhibitor will be paid for by that exhibitor. Do not paint, tape, nail, screw, drill or track anything to walls, columns, floors or ceilings of building, adjoining displays or the official contractor’s display material. Fire Department Regulations. Fire department regulations must be observed. Display and packing material must be flame-retardant. Electrical equipment must be UL approved and must be wired by a licensed electrician. Helium balloons are not allowed in the Exhibit Foyer at any time. Indemnity. Each Exhibitor shall indemnify and hold harmless Monroe County ARES, St. John Fisher College, appointed service contractors and the exposition location for all liability that might ensue from any cause including accident or injury to invitees, guests, exhibitors, their agents and employees; including loss or damage to personal property. Cancellation of Exposition. If Monroe County ARES should be prevented from holding the exposition for any reason beyond Monroe County ARES’s control (such as, but not limited to, damage to building, riots, strikes, act of government or act of God) or if an exhibitor cannot occupy assigned space due to reasons beyond Monroe County ARES’s control, any part thereof, with no further liability to the exhibitor other than a refund of exhibit fees less proportionate share of the exposition costs incurred. Badges. Official badges for the exposition must be worn at all times on conference premises. Admittance to the Exhibit Foyer and the seminar rooms will require a badge at all times during the conference. Badges can be picked up at the Registration & Information Desk. No Soliciting. Soliciting outside the confines of the exhibitor’s assigned space is prohibited. Competitive Events. Competitive events that distract from the conference and exposition are prohibited. Restricted Attendance. Non-exhibiting companies, organizations and individuals who supply products and services to EmCommEast exhibitors or that supply products or services to EmCommEast attendees may not attend. Exhibitor Registration. Exhibitor registration is limited to sales, marketing, management and special booth personnel. Each exhibitor will be allocated two exhibit staff passes. Additional exhibit staff passes are available for a nominal fee. Installation, Show and Dismantling. Installation, show and dismantling hours and dates shall be those specified by Monroe County ARES. Packing of exhibits prior to the close of the exposition is prohibited. Exhibitor shall be liable for all storage and handling charges for failure to remove exhibits by specified time and date. Sales Tax. Each selling exhibitor must be registered with the New York State Sales Tax Bureau. Permits must be obtained from the tax bureau in advance. Monroe County ARES, at its discretion, may make reasonable changes, amendments or additions to these Terms and Conditions. Any changes, amendments, or additions shall be binding on the exhibitor. The ruling of Monroe County ARES shall be final in all instances with regard to use of any exhibit space. |
